At Cavendish Square Private Psychiatry, we recognise that the Terms & Conditions provided to our patients serve a fundamental role in establishing a clear understanding of the contractual agreements that govern our professional services.
We strive to foster a therapeutic relationship built on trust and understanding. These agreements are designed not only to protect the rights of our patients but also to ensure that we maintain the highest standards of care.
The Terms & Conditions outline our responsibilities as your healthcare provider, as well as your rights and obligations as a patient. The importance of throughly understanding these terms cannot be overstated.
Effective Date: 1st November 2025
1. Introduction
1.1 These terms & conditions (“Terms”) apply to the provision of private psychiatric and related services by UK Psychiatry Services Ltd (Company no. 16420627) trading as Cavendish Square Private Psychiatry (“we”, “us”, “our”) at 10, Harley Street, London W1G 9PF.
1.2 By attending an appointment or instructing us to provide services you (“you”, “the Patient”) agree to these Terms.
1.3 These Terms, together with any service-specific patient information, your consultation or treatment plan, and our Privacy Policy, set out the basis on which we provide care.
2. Scope of Services
2.1 We provide private psychiatric assessments, reviews and treatment (which may include medication management, referral and liaison with other mental health professionals, providing expert reports) and related services.
2.2 Unless otherwise agreed in writing, the contract for services is between you and UK Psychiatry Services Ltd trading as Cavendish Square Private Psychiatry.
2.3 Your individual care will be provided by a Consultant Psychiatrist or another appropriately qualified clinician. This Consultant Psychiatrist or clinician may be an associate, employee or contracted by us but in all cases the clinician is responsible for your clinical care.
2.4 We will endeavour to provide the services with reasonable care and skill in accordance with recognised clinical guidelines (for example those of the Royal College of Psychiatrists and National Institute of Health and Care Excellence) and regulatory requirements (for example those of the Care Quality Commission).
3. Patient Responsibilities
3.1 You must provide full and accurate information about your medical history (including psychiatric, physical and medication history), symptoms, and any treatments you are receiving or have received.
3.2 You must inform us of any changes in your health, medications, or circumstances (including if you become subject to any legal or safeguarding concern).
3.3 You must attend appointments punctually. If you arrive late this may reduce your time with the clinician, and you will still be charged for the session. Please refer to sections 4.4 and 4.5 below regarding late cancellations and missed appointment/no-shows.
3.4 You must treat our staff courteously and respectfully. Abusive or threatening behaviour may result in termination of your treatment.
3.5 Where applicable, you must register with a general practitioner (“GP”) (unless you already have one) and permit us, where clinically appropriate and subject to your consent, to contact your GP for a summary of your medical history prior to your appointment and to send a letter to your GP after your appointment containing a summary of care or treatment plan.
4. Fees, Payment and Cancellation
4.1 Fees for assessments, consultations, reviews, expert reports and other services will be notified to you in advance. You will receive an appointment letter or treatment plan detailing the service, clinician and fee.
4.2 For self-pay patients, payment is due at the time of booking the appointment, unless otherwise agreed in writing. We accept all major credit and debit cards. For patients claiming insurance reimbursement, you remain responsible for payment in the first instance, unless we have agreed direct billing with your insurer.
4.3 For insured patients, you must provide valid pre-authorisation code from your health insurer before booking the appointment. In the absence of valid cover, you will be liable for payment of full fee of the appointment.
4.4 Cancellation/Rescheduling policy: If you cancel or reschedule an appointment with less than 3 working days’ notice (i.e., minimum 72 hours’ notice, excluding weekends), then you will be liable for and incur a late cancellation charge as outlined below:

Within 3 working days (i.e., within 72 hours, excluding weekends) of the scheduled appointment - 50% of your appointment fee will be charged. ​

Within 2 working day (i.e., within 48 hours, excluding weekends) of the scheduled appointment - 100% of your appointment fee will be charged.
4.5 Non-attendance/Missed appointments/No-shows policy:

If you fail to attend your appointment, then you will be charged the full fee for the booked appointment.

If you arrive 15 minutes or more past the scheduled start time of your appointment, then the clinician will not be able to see you. This will also be considered a non-attendance, and you will be charged the full fee for the booked appointment.

Please also be aware that most insurance providers do not fund non-attendance costs and you would be expected to pay the full appointment fee for the non-attendance.
4.6 If you fail to pay any invoice when due we may suspend further appointments until payment is received. Interest and additional recovery costs may apply for overdue amounts.
4.7 We reserve the right to vary our fees from time to time and will notify you of any change in advance.
5. Treatment, Reports and Clinical Care
5.1 Any assessment, treatment plan or expert report provided by us will be tailored to your individual needs but does not guarantee a particular result or outcome.
5.2 The contract for your care is between you and us. All clinicians are independent contractors, not employees, and are solely responsible for clinical advice provided.
5.3 You will be under the care of your a Consultant Psychiatrist or another clinician, and we may involve other professionals (therapists, psychologists, pharmacists) as clinically indicated.
5.4 We will keep appropriate clinical records. We may send letters to your GP or other professionals involved in your care, with your consent. You have the right (within applicable law) to request access to your clinical records.
5.5 Prescriptions: Clinicians will only prescribe medication when, in their professional opinion, it is clinically appropriate and in the best interests of the patient.
5.5.1 You understand and accept that there is no guarantee a prescription will be issued as a result of any consultation. The decision to prescribe rests solely with the Clinician, in accordance with their clinical discretion and subject to Cavendish Square Private Psychiatry’s prescribing policies and governance standards.
5.5.2 If a prescription is provided, it will be a private prescription. Additional fees will apply for repeat prescriptions outside scheduled reviews.
5.5.3 If medication is prescribed, you must comply with the clinician’s instructions and attend for review as required. If you do not attend review appointments, we may discontinue treatment.
5.5.4 Prescriptions are for your personal use only. You agree to read all information supplied with your medication, including the pharmacy label and patient information leaflet, and to follow all professional instructions provided. You further agree to contact your Clinician, GP, or pharmacist if you have any questions or do not fully understand the purpose, dosage, or instructions for any prescribed medication.
5.5.5 Following a consultation appointment, the clinician may consider issuing a prescription. Following virtual appointments:

For Non-Controlled Drug medications - The prescription is then either posted by Royal Mail 1st Class to the patient's home address or sent electronically to a nominated pharmacy that has been identified by Cavendish Square Private Psychiatry as being compliant with our clinical governance structures.

For Controlled Drug medications - The prescription is then either posted by Royal Mail Special Delivery Guaranteed by 1.00 PM to the patient's home address or sent electronically to a nominated pharmacy that has been identified by Cavendish Square Private Psychiatry as being compliant with our clinical governance structures.

Dispensing and delivery of medications are managed directly by the dispensing pharmacy and not by Cavendish Square Private Psychiatry.
5.5.6 There is no guarantee that a clinician will agree to re-issue a prescription, report or letter. If a clinician agrees to re-issue a lost prescription, report, or letter, then you will be charged the current administrative fee applicable for such re-prescriptions provided outside a review.
5.6 Risk and safeguarding: If in the clinician’s judgement you present a serious risk to your health or the health/safety of others (including children or vulnerable adults), we may contact your GP, next-of-kin or other relevant agency without your consent if required by law or professional duty.
5.7 Termination of treatment by us: We reserve the right to terminate or suspend treatment for reasons including non-payment, abusive behaviour, failure to comply with review appointments, or if we judge the arrangement is no longer clinically safe or appropriate. On termination you will still be liable for fees for services already delivered.
6. Confidentiality & Data Protection
6.1 We treat all information you provide as confidential and will comply with applicable data protection legislation (including the UK General Data Protection Regulation and the Data Protection Act 2018).
6.2 We will only share your information with third parties (including your GP or other clinicians, and insurers) with your consent, except where disclosure is required by law (for example in cases of serious risk, safeguarding, or compulsory reporting).
6.3 You should be aware that your clinician may write to your GP or other healthcare professionals as part of your care. You may request to review the letter before it is sent; however certain information (such as medication dosage) may not be omitted if clinically necessary.
6.4 Our Privacy Policy sets out in detail how we collect, store, use and share your personal data. You should read that policy alongside these Terms.
7. Liability
7.1 We undertake to provide services using reasonable care and skill. However, to the fullest extent permitted by law, our liability (and that of our staff, consultants, agents) is limited to direct loss or damage suffered by you, and we accept no liability for indirect or consequential loss (such as loss of earnings, loss of business) except where this cannot be excluded by law.
7.2 Nothing in these Terms shall restrict your statutory rights.
8. Complaints and Feedback
8.1 We aim to provide the highest standard of care and welcome your feedback. If you wish to raise a complaint, please follow our complaints procedure (details available on request).
8.2 If you remain unsatisfied after our internal process, you may refer your complaint to the Care Quality Commission (CQC) or another statutory body as applicable.
9. Changes to Terms
9.1 We may update these Terms from time to time. Changes will apply to future services only and we will notify you if a material change affects you.
9.2 The version applicable to your care is the one in force at the time you first book your appointment unless otherwise agreed in writing.
10. Governing Law and Jurisdiction
10.1 These Terms are governed by the law of England and Wales.
10.2 Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
11. Interpretation and Severability
11.1 If any provision of these Terms is found by a court to be invalid or unenforceable, that provision shall be deemed deleted (to the minimum extent necessary) and the remaining provisions shall continue in full force.
11.2 The headings in these Terms are for convenience only and do not affect interpretation.
12. Branding, Creative Content and Intellectual Property
12.1 All intellectual property on the Cavendish Square Private Psychiatry website, materials, and recorded consultations belongs to UK Psychiatry Services Ltd. You may not reproduce, distribute, or commercially use any material.
12.2 The name, logo, and branding of Cavendish Square Private Psychiatry are trademarks of UK Psychiatry Services Ltd
13. Disclaimers
13.1 Information on our website or the Semble Platform (other than advice given during the consultation) should not be relied upon as medical advice.
13.2 We make no warranty as to the accuracy of any third-party content or articles published online or to its links on our website.
13.3 We do not guarantee that the Semble Platform is virus-free or uninterrupted. You must maintain your own cybersecurity protections.
13.4 We do not endorse third-party products, services, or advertisements that may appear on the Platform.
